Importing your student list without losing an evening
The import is the first step, and often the one that discourages people. Here is how to keep it short, even with a list kept for years.
Prepare the spreadsheet, without cleaning it
The temptation is to rewrite everything before importing. It is rarely necessary: the usual columns are recognised even when their headers are worded differently, and the app shows what it understood before creating anything. One thing is worth checking: that each student has at least a first name and a last name on the same row.
- One student per row, first and last name present.
- Headers can be worded freely.
- No need to clean out unused columns.
Read the preview before confirming
The preview is where surprises are avoided: it shows the rows understood, the rows rejected and the reason for the rejection. A rejected row does not stop the others. Unknown groups are listed and created along the way, and likely duplicates — same name, same email — are flagged so that you decide, row by row, what to do.
- Rows understood, rows rejected and reasons.
- New groups, listed before creation.
- Duplicates flagged, never deleted automatically.
- A rejected row does not block the rest.
Dates and families
For an imported record, the spreadsheet enrolment date feeds the active student count: a student enrolled two years ago counts only with recent activity (attendance, paid dues, progress). A student imported without a date is never counted as a new enrolment. A future date is refused. Dates are read according to the school's language, and an ambiguous date is shown as it was understood. Families, for their part, come together after the import: link the siblings, and name the main contact for each.
- The spreadsheet enrolment date counts in active students; without a date, only activity counts.
- Ambiguous dates shown as understood.
- Families come together after the import.
Questions
How many rows can I import?
At most one thousand rows per import. Beyond that, split the file in two.
What should I do with columns I do not use?
Leave them: they are simply ignored, with no error.
My list is a photo, not a file. Does that work?
Yes. The text is read by an AI service, then you correct the preview before importing.
