What is an active student?

The free threshold rests on a precise notion. It is worth explaining clearly, because it decides when a school starts paying.

The definition, in one sentence

A student is active if they had at least one activity in the last 90 days — present or late at a class, a recorded dues payment, or a curriculum item marked learned or validated — or if their record is less than 90 days old. Each activity counts on its own date. A student never back since January, with no dues or progress since, is no longer active, even if their record still exists. A student who arrived last week is active, even if it is their first time.

  • Attendance, paid dues or progress in the last 90 days: active.
  • Record less than 90 days old: active. For an imported record, the spreadsheet enrolment date is what counts.
  • Neither: inactive.
  • An excused absence does not count as a visit.

Why 90 days

Three months matches a school season: long enough not to count as active someone who simply missed two weeks for a trip, short enough not to make a school pay for students who vanished a year ago. It is a window, not a judgement: it says nothing about a student's worth, only about their current link with the class.

  • Long enough to absorb normal absences.
  • Short enough to reflect the reality of the class.
  • The status ticked by hand does not count here.

How to check it in the app

The number of active students is shown in the app, with the list and the reason for each: came on such a day, paid on such a day, progress on such a day or record created on such a day. So you never have to recalculate anything, or trust an invisible counter. The month's measurement is the highest number reached during the calendar month. The same calculation serves the monthly measurement, the threshold notice and the public counter on the home page.

  • The number, the list and the reason, in the app.
  • Measured once a month, on the anniversary day.
  • The same calculation everywhere, no exception.

Questions

Does a paused student count as active?

If they have had no attendance, no dues payment and no progress for more than 90 days, and their record is more than 90 days old, no.

And a student who comes once a term?

If they come at least once within 90 days, or their dues are paid in that period, they are active — even if they come rarely.

Does the status ticked "active" in the app count?

No. Only a recent visit or a recent enrolment counts for the threshold.
