Martialnote plan

Who: the owner only. Instructors don't see this screen ("Owner-only section"). A school stays free up to 25 active students; above that, a subscription applies, monthly or annual. Card payment goes through Stripe: see the article "Paying the Martialnote subscription" (fonctions/paiement).

Where to find it

Settings > Plan > Martialnote plan (/settings/plan). Once the school has received the pricing notice, a banner at the top of Today (owner) leads to the same screen. A school that is read-only (or will be on a given date) sees a banner on all its screens (see the payment article).

The active student: the only thing that counts

A student is active, on a given date, when either of these is true:

they had at least one activity in the last 90 days. Three activities count, each on its own date:
- an attendance at a class, on the date of the class. Present and Late count; an Excused attendance does not, and a cancelled session does not either;
- a recorded dues payment, on the date of the payment;
- a curriculum item marked Learned or Validated, on the date it was marked;
their record is recent: it is less than 90 days old (see "Record date" below).

Rules:

The Active or Inactive status on the profile does not count. It is for lists and messages. A student marked "inactive" who came 30 days ago counts; a student marked "active" with no activity for 6 months (and a record older than 90 days) does not.
The enrollment date shown on the profile (Enrolled since) does not count: it can be changed freely for display, with no effect on the number of active students.
A record moved to the trash stops counting from the day it is moved there.
The 90 days are worked out in the school's time zone.
Today's count, the monthly measurements and the public statistics on the landing page all use exactly the same calculation.

Examples (no real data): on June 1, a student who last came on March 15, with no payment or progress since, no longer counts (more than 90 days); a student who no longer comes but whose dues were paid on May 10 counts; a record created on May 1 counts even if the student never came.

Record date

Record created in the app (add-student button): the reference date is the day the record was created in the app. It is set automatically and nobody can change it, not even the owner. A record created today counts for 90 days, even if its displayed enrollment date is older.
Record imported with an enrollment date (spreadsheet column): the reference date is the spreadsheet date, as it was at import. A student imported with a date from a year ago therefore counts only through their activities. A future enrollment date is refused at import (code invalidDate).
Record imported without a date (missing or empty column, or photo import): the record never counts as recent. The student counts as active only through an activity in the last 90 days (attendance, payment or progress).

The screen

Active students today: the number, out of 25, with a bar; the current month's measurement (the highest number reached since the 1st of the month); the definition in one sentence; the day the month's measurement becomes final (the last day of the month).
Active students: the list, sorted by name, with each student's most recent reason — "Came on Oct 3" (last attendance counted), "Payment on Oct 1", "Progress on Sep 28", "Record created on Sep 12" or "Enrolled on Sep 12 (imported date)". Tapping a row opens the student's profile.
Plan: the school's tier once it is set, otherwise both possible prices and the rule.
Measurement history: one row per monthly measurement (month and number of active students). Measurements from before November 2026 are dated the day they were taken.

Monthly measurements

The number of active students is tracked every day. The month's measurement is the highest number reached during the calendar month (from the 1st to the last day of the month, in the school's time zone).
A month's measurement becomes final on the last day of the month; it appears in the history the next day, on the 1st of the following month.
A number already reached during the month no longer goes down: moving records to the trash or removing attendances during the month does not lower that month's measurement. These changes count for the following days, and so for the following months.
The first measurement is the one for the month the school was created (from the creation day to the end of that month).

When the plan applies

The limit is crossed only after two measurements in a row above 25. A single measurement above 25 is not enough.
At that point, the school's tier is set and the first payment is set 30 days later. If the school drops back to 25 or less before that date, the notice is cancelled and the school stays free.
A school that is free again and goes back above 25 for two measurements in a row starts a new 30-day delay.

Tiers and prices

Growing school: one of the first two measurements was 25 or less. $14.99 per month or $149 per year, for life, taxes included. No spot is taken.
Founder spot: a large school from the start, if one of the 25 spots is left. $14.99 per month or $149 per year, for life, taxes included.
Regular rate: $24.99 per month or $249 per year, taxes included.

The tier is set once and never changes afterwards. A founder spot is reserved at the notice, but it is only taken at the first successful payment, and is then kept for life, even after a cancellation, a refund or a return to free. A school that had a reserved spot and goes back to free without ever paying loses its reservation (its tier is recalculated at the next notice).

The annual subscription gives about two months free ($149 instead of $179.88, or $249 instead of $299.88). Monthly stays available at the same guaranteed rate: you can switch between the two, and the founder rate is frozen for life in both.

What the subscription covers

Hosting and backups: dedicated server and database, encrypted daily copy kept off the server, full restore tried at least once a quarter.
Isolation per school: each school is separate in the database; a badly filtered query cannot show another school's students.
Protection of minors' information (Law 25): no contact details of their own for a child, everything goes through the parent or guardian.
Full export at any time, with no condition or delay.
Continuous updates, included in the rate (see the landing page's What's new).
A fixed rate, which doesn't depend on the number of students, up or down.

Nothing is reserved for paying schools. The same features for everyone: no cap on students, groups, instructors or ranks. The only difference is the number of active students, and it is a billing trigger, not a limit.

Payment

The school pays by card, through Stripe, from this screen (owner only): Pay button after the notice, then Manage my subscription to change card or plan, see receipts or cancel. Statuses shown: notice received with the first payment date; active subscription (with "First charge on {date}" while the card is saved but not yet charged); failed payment; read-only. First payment: 30 days after the notice. With no payment, the school becomes read-only 14 days later (44 days after the notice); viewing and logging in stay possible, and the owner can export. A paying school that drops to 25 active students or fewer at two measurements in a row has its subscription stop at the end of the paid period, with no refund of that period.

Pilot schools

A pilot school stays free whatever its number of students: it is measured like the others, but receives no notice. The screen shows "Pilot school: free.". The exemption is not set in the app: it is set by the Martialnote team.

"Enrolled before"

When a student is imported without an enrollment date (missing or empty column, or photo import), the app keeps the import date and marks it "estimated". The profile then shows "Enrolled before {date}". Correcting the date on the profile removes the mark, but changes nothing in the calculation: a record imported without a date counts as active only through its activities (attendance, dues payment, progress), never through its enrollment date.
