Roles and access

A school has two roles. There are no detailed permissions.

Owner

Runs the school. Can do everything: add, edit, import and delete students, manage families and parents, see and show contact details, view and restore the trash, access fees, messages and the school's data.

Instructor

Teaches. Views the student list and profiles, with the emergency contact (useful during a class), groups, family and change history. Does not change students, the schedule or groups, but takes and corrects attendance (same day and 7 days). Also sees no contact details: no email or phone for students or parents. This is not a setting: the app never sends them to an instructor (privacy protection).

The instructor does not see the Fees and Messages menu entries, nor the Add, Edit, Show or Move to trash buttons.

Messages and cancelling a session

By default, only the owner writes to students (Messages) and cancels or restores a session. The owner can turn on the setting "Instructors can cancel a session and write to students" (Settings > Communication > Message settings, off by default). When on, every instructor sees Messages, writes to any group or to the whole school, sees the message history, and cancels or restores any session, then notifies its students. They still do not edit or delete sessions, do not change this setting or "Reply to", and still see no contact details. See the Messages article.

Schedule and attendance

The instructor sees Today, Attendance and Schedule. They take and correct attendance: on the day of the session and for the following 7 days (after that only the owner can, with no limit). They cannot change the schedule or the groups: the Groups screen shows them "This section is for the school owner". The owner manages the schedule, the groups and attendance with no date limit.

Subscriptions

The instructor sees each student's subscriptions and their count on the profile, without prices. They can only adjust the number for the current month (This month − / +, Back to the usual number). They see neither Subscription types nor Over plan, and do not have the Add a subscription, Edit, Renew the card or Move to trash buttons. They see the subscription badges on attendance sheets.

Fees

The owner sees amounts and acts: Fees screen, Confirm a payment, cancelling a payment, Pause and Resume, Price for this student, Payment period, Family rate, and the Overdue fees card on Today. The instructor only sees badges with no amount (Renew soon, Payment due, Paused) on attendance tiles, the student list and the profile; the Fees screen shows them "This section is for the school owner".

Progression

The owner and the instructor see curriculums, statuses, notes and milestones, mark Learned / Validated, use Note and add notes and milestones. The instructor edits or removes only their own notes and milestones (the owner, everyone's). Only the owner creates, edits, reorders and trashes curriculums, categories and items, and attaches a curriculum to a group; the instructor can only view them. See the Progression article.

Grades: only the owner sets up a curriculum's grade system, attaches an item to a grade and awards grades. The instructor sees grades, requirements and history, adds stripes and removes only their own stripes. See the Grades article.

"This section is for the school owner"

This screen appears when an instructor opens a section that is not for them (for example through a link they received): fees, messages (unless the school allows it), student import, trash, groups, subscription types, over plan. Tap Back to Today. For any change, the instructor asks the school owner.

Inviting an instructor and accounts without a school

  • The owner invites an instructor in Settings > Roles and access > Invite an instructor (email, optional name). The link they receive opens a session on the school, with all instructor rights. An email that already has an account is refused: one school per person. See the Settings article.
  • The person who creates their account becomes the owner of the school they create. Until their school exists (account created, setup step 1 not done), their account has "no school": the app takes them to setup and no school data is reachable ("Create your school first to open this section."). See the Setup article.
  • In Settings, instructors only see Display and Account, with the note "School settings are managed by the owner.".

School suspension and read-only

  • Suspended school: any change is refused ("Your school is suspended: changes are read-only. Write to support."). Viewing and exporting stay possible at any time, and signing in, signing out and preferences keep working. Messages no longer go out. A banner shows it to every member of the school. The suspension, like lifting it, is a decision of the Martialnote team: write to bonjour@martialnote.com.
  • Martialnote in read-only (maintenance or security): any change is refused for everyone ("Martialnote is read-only for now. Try again later."); viewing, exporting and signing in stay possible.
  • School read-only because of an overdue payment: same effect as above for changes ("The school is read-only: payment is overdue…"); viewing, exporting and signing in stay possible for everyone. Only the owner can pay or open Manage my subscription; the instructor sees a banner saying the owner can restore access (see the payment article).
