Attendance
Who: the owner and the instructor. This article explains how to take and correct a session's attendance.
Where to start
- Today: a big Take attendance button is shown on the first class of the day that has no attendance yet. The other classes have a smaller Take attendance button; if attendance already exists, the button is Edit.
- With no session that day, the card shows "No classes today." and a See the schedule link.
- Special case of a school that has nothing scheduled yet (no class and no session, outside the trash): the owner sees "No classes scheduled yet: start by adding your classes." and an Add your classes button instead, which opens the same Recurring class / One-off session choice as the Class button on the Schedule. This message only appears when online.
- Attendance (menu): the list of recent sessions. See older shows older days; "No sessions on those days." if there are none.
- Schedule: tap the session, then Take attendance.
Time limits
- Instructor: on the day of the session (at any hour) and the following 7 days. After that, they must ask the owner (message: "This session is more than 7 days old: only the school owner can still change its attendance.").
- Owner: no limit into the past.
- Nobody can take attendance for a future or cancelled session. The sheet opens as Read only, with the reason shown.
Taking attendance
- Open the attendance sheet (see "Where to start").
- The Regulars of this class come first. Tapping a student marks them Present (a single tap).
- For another state, tap ⋮ ("More choices for …") and choose:
- Present;
- Late: counts as present;
- Excused absence: does not count as present; a Note (optional) of at most 200 characters is possible (e.g. "sick");
- Absent. A student who was not tapped is absent.
- All regulars present marks every regular at once; Uncheck regulars sets them back to absent.
- For a student missing from the list, use the search at the top ("Find a student, even from another group"). Search ignores accents and works on the first name and the initial of the last name.
- Tap Finish · N present. The whole list is saved and the app goes back to the previous screen. The message "Attendance saved · N present" is shown with Undo for 7 seconds.
- Undo (after Finish) is offered only if the session already had attendance before: it then puts the old list back. For a first-time attendance there is no Undo button: reopen the sheet and correct it. Undo is offered only after a successful send: without a connection, the message "Saved on this device · will be sent when the connection returns" has no Undo button (reopen the sheet with Edit to correct the pending list).
The bottom of the screen shows "N present out of M" and the class title.
Who appears in the list
- Regulars: students in one of the session's groups, or students who came (present or late) to at least 2 of the last 6 held sessions of this class. A "held" session is a non-cancelled session whose attendance was taken. The 2-out-of-6 threshold cannot be changed yet (later version). In a school without groups, regulars only appear after 2 or 3 weeks of attendance.
- Other students: all other active students, sorted by recent attendance at this class.
- Only active students appear, except those already marked on this session.
- Visitor: when the session has groups, a student who is in none of them gets a badge with their group's name, or "Visitor" if they have no group. The badge is always shown for such a student, checked or not. A session without groups has no visitors.
Leaving without finishing
If you leave before Finish, the app asks "Leave without finishing?". Leave keeps the checkmarks on the device to finish later; Stay goes back to the sheet.
Two people on the same session
If someone else saved the attendance while you were taking it, the box "Attendance already saved" shows with the name and time. Choose Keep my list (replaces the other list) or Keep theirs (drops yours). Nothing is replaced without this choice. If the sheet was reopened during a conflict, a note says so and Finish brings the choice back.
Subscription badges
Each tile of a student who has a subscription shows a badge for the month of the session:
- "5/8": attendance this month (or classes used on a card) / number allowed;
- "1 left": 2 classes or fewer are left on their card;
- "Limit reached": the month or the card is full;
- "+2 over plan": attendance beyond the subscription;
- "No subscription": none of their subscriptions gives access to this session.
Tapping the tile updates the badge right away ("5/8" becomes "6/8"); the app recalculates after Finish. Attendance is never refused because of a subscription. A student without a subscription has no badge. An unlimited monthly subscription shows no badge. See the Subscriptions and Over plan articles.
Fee badges
If the student's subscription has a price, their tile may also show Renew soon (next due date within 7 days, or a card with 2 classes or fewer), Payment due (a past due date is not paid) or Paused. These badges show no amount and are visible to both the owner and the instructor. They never block attendance: a paused or late student can be marked present. See the Fees article.
Progression view and "Note"
This view's help contains the sentence "{Teachers} can validate {forms} and add stripes.", written with the school's vocabulary (see the Progression article).
At the top of the sheet, the Attendance / Progression switch changes the view. Attendance works offline; Progression needs a connection and shows, per student, the last learned item, "Up next", the Not for a long time badge (90 days or more), the current grade (small belt and stripes) if the curriculum has a grade system, and the last note. A small pencil on each tile of the Attendance view opens Note without changing attendance. Both the owner and the instructor can note. See the Progression article.
