Schedule
Screen: Schedule (/schedule). Who: everyone can read it (owner and instructor); only the owner creates and changes classes and sessions. An instructor can cancel and restore a session only if the school allows it (see below).
Reading the schedule
- On a phone: one day at a time. A strip of 7 days ("Days of the week") picks the day; you can also swipe left or right to change day.
- On a screen 720 px wide or more: the whole week in 7 columns, with compact cards.
- The "‹" (previous week) and "›" (next week) buttons change the week. Today goes back to the current week.
- Each session shows its title, its times, the badge of its group (name and colour) and, as the case may be, the badges Cancelled, One-off, To send (attendance kept on the device, not yet sent) or the number present. A class with no group shows "Open to all". A cancelled session is shown struck through, with its reason.
- "No classes that day." is shown when there is nothing.
- Tapping a session opens its details: repeat pattern in plain words, groups, location, instructor. The Take attendance button is offered there (see the Attendance article).
Times follow the school's time zone: America/Toronto by default, set by the owner in Settings > School > Time zone.
Creating a recurring class (owner)
- In Schedule, tap Class, then Recurring class. The "New class" screen opens.
- Title (optional): if empty, the app uses the names of the class's groups, and otherwise the word "Class".
- Groups: check zero, one or several groups. No group means the class is open to all.
- Repeat, one of:
- Every week: check one or more Days (e.g. Monday and Wednesday).
- Every N weeks: choose Every 2 to 8 weeks ("2 weeks" to "8 weeks"), and the days. The rhythm is counted from the week of Class starts.
- Every month: choose the Week of the month (1st, 2nd, 3rd, 4th or last) and the Day (e.g. "1st" and Saturday for the first Saturday of the month). There is no 5th week.
- Start and End: start and end times. They must be on the same day: a class cannot go past midnight.
- Location (optional): at most 80 characters.
- Instructor: choose an account of the school, Other… (then write the Instructor's name, at most 80 characters) or None.
- Class starts: the first possible date of the class.
- Class ends (optional): left empty, the class has no end. It must be after the start (otherwise: "The end date must be after the class start date.").
- Tap Save. The message "Schedule updated" is shown.
Creating a one-off session (owner)
For a workshop or a make-up class: Class, then One-off session. Same fields, without repeat, with a Date.
Editing (owner)
- Tap the session, then Edit.
- Choose the scope:
- This session only: changes the date, times, title, location, instructor and groups of this session alone.
- This and following sessions: the change applies from the date of this session. A notice says "Changes apply from … Past sessions do not change." Sessions already changed one by one keep their changes. You can also change Class ends here.
- Tap Save.
For a one-off session, you edit the session directly.
Cancelling a session and restoring it
- Tap the session, then Cancel session.
- Optionally write a Reason (optional) of at most 120 characters, for example "Public holiday". It is shown on the schedule.
- Confirm with Cancel session, or choose Keep the session to give up.
- To undo, open the cancelled session and tap Restore.
No attendance can be taken on a cancelled session.
Who: the owner, and instructors if the setting "Instructors can cancel a session and write to students" is on (Settings > Communication > Message settings). Otherwise, instructors do not see these buttons; through the API they get "The school does not allow instructors to cancel a session or write to students.". Even when allowed, instructors do not edit or delete a session.
Notify students: after a cancellation, a restore, or a change of date or time of a single session, the Notify students sheet offers a pre-filled message (class, date, time, location, reason), editable, with a preview, then Send by email or Don’t notify. Nothing is offered for a past session or for a change to the whole class. See the Messages article.
Deleting
- A session of a recurring class cannot be deleted: cancel it.
- A one-off session goes to the trash with Move to trash (restorable for 30 days, see the Trash article).
- Moving a class to the trash (owner):
- Tap a session of the class, then Move the class to trash. This button exists only for a session of a recurring class.
- In the confirmation "Move the whole class to trash?", read "All its sessions disappear from the schedule. Attendance already taken is kept. The class can be restored for 30 days from the Trash." then tap Move the class to trash (or Cancel to give up).
- The message "Class moved to trash" is shown with Undo for 7 seconds. All its sessions disappear, past ones included: from the Schedule and from the list on the Attendance screen (so their sheets can no longer be opened or corrected). Attendance already taken stays saved (nothing is erased) and reappears with the restore. Once restored (Undo or from the Trash within 30 days), the class, all its sessions and their attendance come back. After 30 days in the trash, the class is erased for good.
Limits
No class past midnight, no 5th week of the month, no export to a calendar, and one time zone for the whole school.
