Martialnote

Subscriptions

Who: the owner creates subscription types and students' subscriptions. The instructor sees subscriptions and their count (without prices) and can adjust the number of attendances for a month. Martialnote processes no payment; tracking what is due and paid is described in the Fees article (cotisations).

Subscription types

Settings > School > Subscription types (owner). Each type has:

  • a Name (80 characters at most);
  • a Type, chosen at creation and never changed afterwards:
    • Monthly: counts attendance for each calendar month (from the 1st to the last day of the month);
    • Class card: counts a number of classes (Number of classes: 1 to 100), unrelated to months;
  • for a monthly type, Attendance per month:
    • Based on a group's schedule: the number allowed is the number of that group's sessions in the month, excluding cancelled sessions (e.g. a class twice a week gives 8 or 9 depending on the month);
    • Fixed number: 1 to 99 per month;
    • Unlimited: never over the plan;
  • Accessible groups: All groups (default) or a list of groups. A session without a group is only accessible with All groups;
  • a Price per period (optional), visible to the owner only: the amount of one payment period, not of the month. Without a price, no fees are tracked;
  • for a monthly type, a Payment period (1 month by default, or N months) and a Family rate; for a card, the price is that of one card, paid at purchase and at each renewal. See the Fees article.

The order of the list (drag ≡) decides between two subscriptions that both fit an attendance. Move to trash is impossible while a student still uses that type ("Used by N student(s): change their subscription first."). A student uses it if they have a current or upcoming subscription of that type; a used-up card, an expired card or a subscription whose end date has passed does not count.

A student's subscriptions

On the student's profile, Subscriptions block. A student can have several subscriptions at once (e.g. kung fu and tai chi, or a monthly subscription and a card).

  • Add a subscription (owner): choose the Subscription type, the Start date (today by default) and, for a monthly type, an End (optional). A 3-month or one-year subscription is a monthly subscription with an end date. For a card: Purchase date and Expiry (optional); after the expiry date, the card no longer counts attendance. The type you need does not exist yet? Under Save, Create a subscription type opens the same "New subscription type" window as Settings > School > Subscription types. Once saved, the type is added to the school's types (also visible in Settings) and chosen in the form; tap Save to create the subscription. Cancel in the type window returns to the form without creating anything. With no type at all, the form says so and this button is enough.
  • Edit (owner): dates, Price for this student (replaces the type's price and the family discount; see Fees), and for a monthly subscription Attendance per month for this student (0 to 99, or Unlimited); Back to the type's number removes this student's own number.
  • Renew the card (owner): adds a new card of the same type, starting today. Extra attendance on the old card moves to the new one (e.g. 2 extra attendances on a 10-class card: the new one shows "8 classes left of 10"). The old, used-up card moves to Ended subscriptions.
  • Move to trash (owner): Undo for 7 seconds, then it can be restored for 30 days from the trash.
  • This month − / + (owner and instructor): changes the number allowed for the current month only (0 to 99). "Number adjusted for this month" is shown; Back to the usual number cancels it.

The block shows, for a monthly subscription, "5 of 8 this month" with a bar, and Previous months (up to 3 months); for a card, "7 classes left of 10" and "Card almost used up" when 2 classes or fewer are left (classes left on all current cards of the same type). Ended subscriptions (end date passed, expired card, used-up card that was renewed) are under Ended subscriptions. A subscription that starts later is shown with the current ones, without the This month row.

Number allowed for a month

In this order: the month's adjustment (This month), otherwise the student's own number, otherwise the subscription type's number.

Counting rules

  1. Present and Late count; Excused absence and Absent do not count.
  2. An attendance counts on a subscription that is current that day and gives access to a group of the session. If several fit, a monthly subscription comes before a card, then the order of subscription types. A full monthly subscription leaves the attendance to another one that fits (another monthly subscription, then a card).
  3. If every subscription that fits is full, the attendance is over plan (on the monthly subscription when there is one). If none fits, it is no subscription.
  4. A student with no subscription at all has no badge and no alert: a school that does not use subscriptions is never bothered.
  5. An attendance is never refused because of a subscription.
  6. The count is always recalculated from attendance: correcting an attendance sheet, even an old one, corrects the count with no other action.
