Grades
Screens: Grades card of a curriculum (/progression/:id), Grade system (/progression/:id/grades), a student's Progression (/students/:id/progression), Progression block of a student's record, Progression view of the attendance sheet.
Who: the owner sets up the grade system and awards grades. The owner and instructors add stripes. Everyone sees grades, requirements and history.
Grades (belts, sashes, cords, kyu, dan, gup…) are entirely optional. A school without a grade system sees nothing new, except the Grades card of a curriculum, which offers to add one. Item tracking (Learned / Validated) works with or without grades (see the Progression article).
One grade system per curriculum
- Each curriculum (a discipline, e.g. "Kung fu") can have zero or one grade system. The students concerned are those who follow that curriculum (through their groups, or added by hand).
- A school that only wants grades, without a list of forms, creates a curriculum with no items (e.g. "Karate") and gives it a system.
- A system is made of series (e.g. "Kyu", "Dan") containing grades in order. A series can be a separate path (Path badge, e.g. "Children’s half-belts"): it is not on the main line (the other series, in order).
- A grade has: a name (1 to 120 characters); a look: One colour, Two colours (half and half), With stripe (a band of another colour in the middle) or None (no visible mark, dashed belt); colours chosen from a palette of 13 (white, yellow, orange, green, blue, purple, brown, black, red, grey, silver, gold, coral); a maximum number of stripes (0 to 10); optional requirements: minimum age (0 to 99), time in months since the previous grade (0 to 600), minimum attendance since the previous grade (0 to 9,999).
- Ways to obtain a grade: a list for the system (at most 10, at most 60 characters each, e.g. "Internal exam", "Batizado"), offered at each award.
Creating the system (owner)
- Open Progression (menu), then the curriculum.
- In the Grades card, tap Add a grade system.
- Choose a template or Start from scratch (one empty "Grades" series). The message "Grade system created" appears, with Undo (about 7 seconds): a template tapped by mistake goes back to the trash and the list of templates reappears.
The 10 templates: Kung fu sashes, Duan wei, Generic kyu and dan, Judo (Judo Canada), Aikido (Aikikai), Brazilian jiu-jitsu (IBJJF), Capoeira, Iaido (ZNKR), Taekwondo WT, Taekwondo ITF. Each shows its belts, its number of grades per series and a help sentence. The template is created in the school's language. It is a starting point: names, colours, stripes, requirements and order can be changed afterwards. Organisation names describe what the template is for; Martialnote is not affiliated with any federation and does not guarantee that a template follows its current rules.
Editing the system (owner)
On Grade system (Grades card > Edit the system):
- Edit a grade: tap its row. The sheet shows a belt preview and the fields Grade name, Series (if there are several), Look, the colours, Stripes (max.), Minimum age, Time (months), Min. attendance. Leaving a requirement field empty = no requirement. Save. Changing the series puts the grade last in the new series.
- Order: Move up / Move down, or drag the ≡ handle, within a series.
- Add a grade · {series} under each series; Add a series (name, optional note of at most 300 characters, "Separate path" box).
- Edit the series (pencil next to its name): name, note, separate path, or Remove the series. Only an empty series can be removed (even a grade in the trash counts), otherwise "This series contains grades: remove or move them first."
- Rename the system: pencil next to its name.
- Ways to obtain a grade: Add, or tap a way's × to remove it.
- Remove a grade (in its sheet): it goes to the trash; the message offers Restore.
- Change template and Remove the system are right under the system's name.
- Change template: replaces all series and all grades, after confirmation. Only possible if no grade or stripe has ever been awarded in this system (even an award moved to the trash counts). Otherwise the button is replaced by "Grades have already been awarded: edit the system grade by grade."
- Remove the system: after confirmation, the system goes to the trash with its series and grades; students' awards are hidden, not erased. Restore (in the message) or Restore from the Trash for 30 days brings everything back. Restoring is refused if a new system was created for that curriculum meanwhile.
Instructors open View grades read-only ("Only the owner edits the grade system.").
Level of curriculum items
When the curriculum has a system, an item's sheet (Edit a curriculum item) shows the Level field: a grade of the system, or "Free: no grade attached" (the default). Items attached to a grade count in that grade's "Curriculum items" requirement. The level is shown next to the item (small belt and grade name). If the grade goes to the trash, the item shows as free until the grade is restored (the link is kept). Without a system, the field does not appear. Owner only.
Current grade and stripes
- A student's current grade in a system is their most recent grade award: the latest date; on the same date, the last one recorded. Awards in the trash and awards of a grade in the trash do not count. Without an award: "No grade awarded".
- The stripes shown are those added to the current grade after it was awarded (same day included if recorded after), at most the grade's maximum ("2 stripe(s) out of 3"). Awarding a new grade therefore starts again at zero stripes.
Next grade
- The next grade is the following grade in the same series.
- At the end of a main-line series: the first grade of the next main series (e.g. last kyu → 1st dan).
- At the end of a separate path: none, with "End of this path." Use Award another grade to move to another path (e.g. from children’s belts to adult belts).
- At the end of the main line: "Highest grade of the system."
- Without a current grade: the first grade of the main line.
Next-grade requirements (guidelines)
Each requirement is shown with an icon: met (check mark), not met (circle) or to check (question mark), and a figure. Requirements never block an award: the owner has the final say.
- Minimum age: the app does not know students’ ages (no date of birth). For an adult student and a minimum age of 18 or less: "Met: adult student". In every other case (minor, or minimum age of 19 or more): "To check: the app does not know students’ ages".
- Time: full months since the date of the current grade (e.g. January 15 to July 14 = 5 months). Without a current grade: "To check: no previous grade".
- Attendance: attendance counted after the date of the current grade (that day excluded), up to today; without a current grade, after the enrolment date. Counted: the statuses Present and Late (not Excused), at sessions not cancelled and not deleted, with at least one group linked to this curriculum, or with no group ("Open to all"). If no group is linked to the curriculum, all of the student's attendance counts.
- Curriculum items: items attached to the next grade, "X of Y validated". Only Validated counts (not Learned).
- With no requirement at all: "No requirement: the grade is awarded when you judge the student ready."
Awarding a grade (owner)
- Open a student's Progression (student record > View progression).
- In the curriculum card, under Next grade, tap Award: {grade}. Or Award another grade to choose any grade of the system (the grade of a student arriving from another school, skipping a grade, moving to another path, going back).
- Check the Date (today by default, never in the future), the Way of obtaining the grade (the system's list, or Other with a text of at most 60 characters), the Examiner (an account of the school, Other name of at most 80 characters, or None; by default, the signed-in person) and an optional Note (at most 500 characters).
- Tap Award. The message "{first name}: {grade} awarded" offers Undo (the award goes to the trash).
Awarding a grade in a curriculum the student does not follow adds it to their curricula (manual addition). Instructors see "Grades are awarded by the owner."
Adding a stripe (owner and instructors)
Under Current grade, tap Add a stripe: a single tap, dated today, with the signed-in person as examiner. The message "{first name}: stripe 2 of 3 added" offers Undo. The button does not appear if the student has no grade, if the grade has no stripes, or if the maximum is reached.
Grades obtained
The Grades obtained card lists the student's awards in this system, most recent first: date, belt, grade name ("Stripe · {grade}" for a stripe), way and examiner. Remove (trash): the owner can remove any award; instructors, only the stripes they added. The message offers Restore; afterwards, Restore from the Trash for 30 days.
Where the grade appears
- Student record, Progression block: for each followed curriculum with a system, the small belt and the current grade ("Yellow · 2 stripes"), or "No grade awarded".
- Attendance sheet, Progression view: each student's belt and current grade for the session's curriculum.
Trash
- An award (grade or stripe) in the trash disappears from the history and the calculations; it comes back when restored.
- A grade in the trash disappears from the system and from the next-grade calculation; its awards are hidden and come back with it.
- A system in the trash takes its series and grades with it; everything comes back when it is restored.
- After 30 days, they are permanently deleted: a deleted system erases its grades and all their awards.
- A student in the trash: their awards disappear with them and come back when they are restored.
- A student who no longer follows the curriculum keeps their grade history ("Other curricula" section of their progression).
